Postflow statuses explained

Updated 16 October 2026 · 2 min read

A Postflow has its own status, and every item in it has a status too. Together they tell you whether cards are on their way and where they are waiting.

Postflow statuses

StatusWhat it means
ActiveThe Postflow accepts items and releases them according to its send rule.
PausedThe Postflow accepts items but releases nothing. Held and ready items wait until you resume.
ArchivedThe Postflow rejects new items and can no longer be changed.

The Postflows list also shows what needs you: "3 need a fix" for items with a problem, "12 held" for waiting items, and Approval when the Postflow requires approval.

Item statuses

StatusWhat it means
Needs attentionThe item has a problem, such as an invalid postal code or a missing field. It waits until you repair or cancel it.
SuppressedThe address is on your suppression list. The card is never printed or charged.
HeldThe item is waiting for its send rule, for funds, or for a paused Postflow.
Pending approvalThe item waits for an Approver.
ReadyThe item is released and will join the next production run at its cutoff.
Scheduled for runThe cutoff has passed and the item is part of a production run. It can no longer be cancelled in the portal.
In productionThe card is being printed or has been handed to PostNL.
CompletedThe production run is complete and the card is on its way.
FailedThe card could not be produced. Its charge is refunded.
CancelledThe item was cancelled and will not be sent.

You can cancel an item while it needs attention, is held, pending approval or ready. Open it and choose Cancel item. With prepaid billing, its reservation is released.

The progress of one item

Open an item to see its progress: Received, Ready to print, Scheduled (or In production) and Sent, each with its date. Warnings explain what stops it, and Details shows the full history.

Where to look

The Flow tab of a Postflow shows the counts per step, and the Activity tab the counts per status and the age of the oldest held item. Items that need attention are the ones to act on. See Fix items that need attention.
