Approve items before sending

Updated 16 October 2026 · 2 min read

Some mail should not go out without a check, for example a card with a price offer. Turn on approval for a Postflow, and every released item waits until an Approver lets it through.

Turn on approval

  1. Open Postflows and choose your Postflow.
  2. On the Flow tab, choose the waiting step (for example Send immediately).
  3. Open Advanced and tick Items need approval before they are released.
  4. Choose Save.

The flow now shows an Approval step and the Postflow gets an Approvals tab. You can also tick the option under Advanced when you create the Postflow.

Want approval on every new Postflow? Owners and Admins open Settings, tab General, and tick New Postflows require approval of items by default. Each Postflow can still change it.

Approve items

Owners, Admins and Approvers can approve. Other roles can see the list but not approve.

  1. Open the Postflow and choose the Approvals tab. The number next to it is the number of items waiting.
  2. Open an item to check it, or tick the items you want to approve.
  3. Choose Approve selected or Approve all.

Approved items become Ready and join the next production run at its cutoff. The dashboard also shows how many items wait for an approval, with a Review link.

What if you do not approve in time

An item that is not approved before the cutoff simply waits, with the status Pending approval, for a later run. Nothing is cancelled. Owners, Admins and Approvers get a reminder 24 hours before a cutoff when items still wait for approval.

Approval and your balance

With prepaid billing, the price of an item is reserved when you approve it. If the balance runs out, the result reads, for example, "40 approved; the rest waits for funds". Top up and approve the rest. See Top up your balance.

If you no longer want to send a waiting item, open it and choose Cancel item.

For one-off campaigns from a list, approval works per Postbatch instead. See Approve a Postbatch.
