Choose when items are sent
Every Postflow has a send rule. It decides when an arriving item is released for the next production run. Until then, the item waits with the status Held.
The three send rules
| Send rule | What it does |
|---|---|
| Immediately | Every item is released for the next production run as soon as it arrives. |
| On the send date | Items wait for the run that delivers on or before their send date. Items without a date go immediately. |
| Minimum count or maximum wait | Items are held until the minimum count is reached, or the oldest item has waited the maximum number of days. Then all waiting items are released together. |
Change the send rule
- Open Postflows and choose your Postflow.
- On the Flow tab, choose the waiting step. It reads, for example, Send immediately or Wait for the send date.
- Pick a send rule. For Minimum count or maximum wait, fill in At least (items) and Or after (days).
- Choose Save.
The new rule applies to the items that are still held.
How send dates work
The send date of an item is the date you want the card delivered, not the day it is printed. PostBuddy picks the latest production run that still delivers on or before that date.
- An item with a send date follows its date under every send rule.
- An item without a send date in an On the send date Postflow is treated as Immediately.
- If no run can deliver in time, the item goes with the next run and gets the warning
late_delivery_expected.
Strict minimum
With Minimum count or maximum wait, open Advanced for Strict minimum: never release fewer items, even after the maximum wait. With this option on, the maximum wait no longer applies: items keep waiting until the minimum count is reached.
Use a minimum count when a small run makes no sense, for example a campaign that only pays off from 50 cards.
What happens after release
A released item becomes Ready and joins the next production run at its cutoff. With prepaid billing, its price is reserved on your balance at that moment. If the Postflow requires approval, the item first waits as Pending approval. See Approve items before sending.
A paused Postflow releases nothing. Its items stay held until you resume it. See Pause or archive a Postflow.
