Approve a Postbatch
Approval is the moment a Postbatch is committed: the price is locked, the amount is reserved and the cards join a production run. Only Owners, Admins and Approvers can approve.
Who can approve
| Role | What they do |
|---|---|
| Owner, Admin, Approver | Choose Approve on the review. |
| Editor | Prepares the Postbatch and chooses Request approval. Owners, Admins and Approvers get a notification, and the status becomes Pending approval. |
| Developer, Viewer | Can look, but cannot approve or request approval. |
Check the quote
The review shows the total including VAT and the number of items with their unit price. Choose View quote for the full quote:
- Items to send and the Unit price from your price list
- Total excluding VAT, VAT and Total including VAT
- If your plan shows the production run schedule: the Next run cutoff and the date from which delivery is expected
If the quote says that no price list applies, contact PostBuddy support before you approve.
Approve
- Choose Approve followed by the number of items.
- If your plan shows the schedule, choose the Production run in the dialog. The next planned run is selected; you can pick a later one, for example to time a campaign.
- If some rows still need a fix, tick Skip the items that need attention. Without this, the approval is refused. The skipped items are cancelled.
- Choose Approve.
The quote is now locked and reserved from your balance or credit. The status becomes Approved and the items are Ready. They are collected at the cutoff of the chosen run.
With prepaid billing, the available balance must cover the whole total. If it does not, the approval stops with a message. Top up and approve again. See Top up your balance.
After approval
The Overview tab shows the summary: when it was approved, the number of items at approval and the locked quote. The steps at the top move on to Send, and the counts follow the items through Ready, In production and Completed.
Until the cutoff of the run you can still cancel. See Cancel a Postbatch.
Open a support ticket in the portal. Tell us what you tried and, if you can, which item or Postbatch it is about.
