Create a Postbatch from a list
A Postbatch is a one-off mailing from a CSV file: you upload a list, map the columns, review the result and approve. Every row becomes one item, which is one card. Owners, Admins and Editors can create Postbatches.
Before you start
- Publish the template you want to use. See Publish a version.
- Save your list as a CSV file with a header row. Excel and Google Sheets can both export to CSV.
Create the Postbatch
- Open Postbatches and choose New Postbatch.
- Enter a Name, for example "Spring campaign 2026".
- Choose the Template. The Postbatch uses its latest published version.
- Pick the Finish and the Destination the product offers.
- Choose Create.
The Postbatch opens in the status Draft. The steps at the top show where you are: Upload, Map, Review and Send.
Upload the file
- Choose Choose a CSV file and pick your file.
- Choose Upload and continue.
PostBuddy reads the file, recognises the encoding (UTF-8 or Windows-1252) and the delimiter, and counts the rows. You then go straight to the mapping step. See Map the columns of your file.
| File rule | Details |
|---|---|
| One file per Postbatch | Upload exactly one CSV file. You can replace it while you review. |
| Header row | The first row must contain the column names. |
| Rows | Every row becomes one card, up to the row limit of your plan. |
Name your columns like the fields of your template, for example name, address, postcode, city and firstName. PostBuddy then suggests most of the mapping for you, in Dutch or English.
Replace the file
Uploaded the wrong list? Choose Replace file at the top. This is possible until approval is requested or the Postbatch is approved. The items of the current import are removed when the new file is processed.
PostBuddy deletes the uploaded CSV file itself 7 days after the Postbatch is approved or cancelled. The items stay.

| Scheduled for run, In production, Completed | The cards are being produced and sent. |
| Cancelled | The Postbatch was stopped. |
Open a support ticket in the portal. Tell us what you tried and, if you can, which item or Postbatch it is about.
