Read your invoice
PostBuddy issues three kinds of documents: top-up invoices, monthly invoices and credit notes. You find them all in Billing, and PostBuddy also emails each one as a PDF to the invoice email address in your billing profile.
Find and download an invoice
- Open Billing. The Invoices list is on the Overview tab.
- Each row shows the kind, the invoice number, the issue date, the total and the status. Choose Show all below the list to see older invoices.
- Choose the download icon at the end of a row to open the PDF.
| Status | What it means |
|---|---|
| Open | The invoice still has to be paid. The row shows the due date. |
| Paid | The invoice is settled. Top-up invoices are paid when they are issued. |
| Void | The invoice no longer applies. |
Which invoice you get
- Top-up invoice: issued when PostBuddy registers your top-up. It is already paid; the VAT is split out of the amount you transferred. With prepaid billing you get these instead of an invoice per card.
- Monthly invoice: for invoice billing. It covers the previous calendar month with your usage per product, finish, destination and production run, your plan fee and any adjustments.
- Credit note: corrects an earlier invoice and names the invoice it credits, with the reason.
What is on the invoice
| Part | What it shows |
|---|---|
| Number, Issue date, Due date | The invoice number to quote and the dates. A monthly invoice also shows the period. |
| Billed to | Your legal name, address and VAT number from the billing profile. |
| Lines | Description, quantity, unit price and amount. |
| Subtotal, VAT, Total | The amounts excluding VAT, the VAT at its rate and the total. |
| VAT statement | Dutch VAT at the standard rate, reverse charge for a valid EU VAT number outside the Netherlands, or no VAT outside the EU. |
| Payment line | On an invoice to pay: the amount, the due date, the IBAN and the reference to quote. |
An issued invoice never changes. If your company details were wrong, update the Billing profile tab; new invoices use the new details.
Check the usage behind an invoice
On the Overview tab, open the usage figure. The Usage statement shows the charges of a month excluding VAT, as they appear on the invoice. Choose CSV to download them for your accounting.
