Export your data
You can download your data from PostBuddy at any time, for example for your own reports, your accounting or an archive. Exports are prepared in the background; the list shows when a file is ready.
Export items, the suppression list or templates
Owners and Admins can request exports.
- Open Developers and choose the Exports tab.
- Choose Export items, Export suppression list or Export templates.
- Wait until the status of the export is READY.
- Choose Download.
| Export | What you get |
|---|---|
| Export items | A CSV file with every item: id, status, Postflow or Postbatch, your reference, test or live, the recipient address, send date, field values, warnings and dates. |
| Export suppression list | A CSV file with every address on your suppression list. |
| Export templates | A zip file with your templates and their images. |
A download link works for 24 hours. After that, request a new export.
Export billing figures
- Open Billing and, on the Overview tab, open the usage figure.
- In the Usage statement, pick the month.
- Choose CSV.
You get the charges of that month excluding VAT, as they appear on the invoice. Invoices and credit notes themselves are PDF files under Invoices. See Read your invoice.
Export before data is anonymised
PostBuddy keeps recipient data only for a limited time. A set number of days after an item is completed, failed or cancelled, its recipient data and field values are removed; the status, dates and price stay. Owners and Admins set this period in Settings, tab General, under Data retention, between 30 and 365 days.
Need the recipient data for longer, for example for your own records? Export your items regularly, before the retention period ends.
For developers, the data retention guide explains what is kept and what is removed.
Open a support ticket in the portal. Tell us what you tried and, if you can, which item or Postbatch it is about.
